1. Summary (At a glance)
- Family-scale stays: most Chapters are ideal for groups of 14–20 guests (see each villa listing for the exact cap).
- Booking: a reservation is confirmed only after we receive the stated advance and you get our written confirmation.
- Cancellations/changes: policy varies by villa and season; we always state the exact terms on your quote and the Booking Summary.
- Security deposit: refundable deposit may be charged and adjusted against damages, missing items or rule violations.
- Care & safety: follow pool and quiet-hour rules; parties or commercial shoots require prior written approval.
2. Who we are & definitions
V3stay is a family-run hospitality brand curating and operating heritage villas and stays across India (“Chapters”). “We”, “us”, or “V3stay” refers to the brand and its operating entities or partner-owners, as applicable to the booking. “Lead Guest” is the adult who makes the booking and accepts responsibility for the group.
3. Eligibility & guest responsibility
- Lead Guest must be 21+ and provide a valid government ID at check-in. Local guest registration requirements may apply.
- Lead Guest is responsible for the conduct of all occupants and any visitors during the stay.
- Only the number of guests on the Booking Summary may occupy the villa unless we approve changes in writing.
4. Enquiries, quotes & booking process
- Enquiry & quote: we share availability and an itemised quote (base rate, fees, taxes, deposit).
- Advance & confirmation: pay the advance stated on your quote to block the dates. Your reservation is confirmed only when we issue written confirmation.
- Balance: balance payment schedule is shown on your Booking Summary; failure to pay may lead to cancellation per Section 7.
- Third-party OTAs: if you book via an OTA, their terms may also apply in addition to these Terms.
We reserve the right to refuse a booking at our reasonable discretion (e.g., safety or compliance concerns).
5. Pricing, taxes & payments
- Quotes are in INR and typically include applicable GST unless stated otherwise.
- Payment methods may include bank transfer, UPI, card or our payment gateway partner(s). Convenience/processing fees (if any) will be disclosed.
- Exchange or bank charges for international cards are borne by the guest.
- Any add-ons (chef services, activities, extra housekeeping, late check-out) are billed as per agreed rates.
6. Security deposit & damages
A refundable security deposit (amount varies by villa) may be collected before or at check-in. We may deduct for:
- Damage to property, furnishings, pool, appliances or landscaping;
- Missing/broken items or excessive cleaning beyond normal use;
- Rule violations (e.g., smoking indoors, unauthorised parties, extra guests).
After inspection, refundable balances are typically processed within 7–10 working days via the original payment method unless otherwise stated.
7. Cancellation, rescheduling & no-shows
Policy varies by villa and season. Your quote and Booking Summary will state the exact terms. Where allowed, reschedules are subject to availability and any rate differences. No-shows and early departures are treated as consumed nights. Processing/transaction fees are generally non-refundable.

8. Check-in/out, occupancy & conduct
Timings
- Standard check-in and check-out times are shown on your Booking Summary. Early/late options are subject to availability and fee.
- Government ID verification is mandatory for all adult guests if required by local regulations.
Occupancy & behaviour
- Maximum occupancy is as per villa listing; many Chapters suit 14–20 guests.
- Please respect neighbours and quiet hours. Unauthorised events/parties or commercial shoots are not permitted without written approval.
- Illegal substances, weapons and hazardous items are strictly prohibited.
9. Property rules (pools, events, pets, smoking)
- Pools: use at your own risk. No lifeguard. Children must be supervised by responsible adults at all times. No glass in pool areas.
- Pets: allowed only where the listing states so, and subject to pet rules/fees.
- Smoking: only in designated outdoor areas; strictly no smoking indoors.
- Fires & candles: open flames require prior approval for safety reasons.
10. Changes by V3stay & force majeure
In rare cases (e.g., urgent maintenance, safety, acts of God, government restrictions), we may modify or cancel your booking. We will offer a suitable alternative or refund per your Booking Summary terms. We are not liable for circumstances beyond reasonable control.
11. Liability, disclaimers & indemnity
- Personal belongings are your responsibility. Use of facilities (including pools, stairs, balconies, kitchens) is at your own risk.
- To the maximum extent permitted by law, V3stay is not liable for indirect, incidental or consequential loss. Our aggregate liability is limited to amounts paid to us for the specific booking.
- You agree to indemnify V3stay against claims or losses arising from your breach of these Terms or negligent conduct.
12. Content, reviews & intellectual property
All V3stay content (brand, text, photos, logos) is protected. You may share our listings for personal planning only. By submitting reviews or photos to us, you grant V3stay a non-exclusive right to use them for brand marketing (you can withdraw consent for future use by emailing us).
13. Privacy & communications
Your data is handled per our Privacy Policy. By contacting us (form, email, phone, WhatsApp), you consent to us replying on the same channel. You may opt out of non-essential marketing at any time.
14. Governing law & disputes
These Terms are governed by the laws of India. Unless required otherwise by law, disputes will be subject to the competent courts where the booked villa is located or our principal place of business (Goa). We encourage amicable resolution first—write to our Grievance Officer below.
